CRM MODULE

Odoo CRM: how it works and why CRMs get abandoned

Odoo CRM moves leads and opportunities through a staged pipeline, with activities, email and quotations wired into Sales. Here is how it works, what gets configured, and what really decides whether your team uses it or drops it after three months — which is almost never about the software.

What is the Odoo CRM module?

Odoo CRM is where your sales process lives: a lead comes in, becomes an opportunity and moves through stages until it is won or lost.

  • LeadAn unqualified contact. Optional: you can work with opportunities only if your cycle is short.
  • OpportunityA concrete deal with expected amount, stage and owner. This is the unit you actually manage.
  • PipelineThe stages an opportunity passes through. They must reflect your real process, not someone else’s sales manual.
  • ActivityThe next action with a date and an owner. With no activity scheduled, an opportunity is dead even if it is still open.
  • Sales teamGroups reps, drives assignment and separates pipelines if you sell very different things.
See in detail

Each opportunity keeps its conversation — emails, calls, notes — and its next activity with a date and an owner, which is what prevents things slipping. When an opportunity is won it turns into a quotation inside the same system, with nothing re-keyed: that is the real difference against a standalone CRM, which forces you to type everything again on the other side. It ships in Odoo Community with no licence cost. And it is worth saying plainly: most CRMs are abandoned for lack of discipline and data entry nobody wants to do, not because the software failed.

WHY ITECHDEV

Six operational reasons, zero adjectives

The code is yours from day one

Repos in your name, documented CI/CD and zero vendor lock-in. If you leave tomorrow, you take it all, running.

New

WhatsApp API with an official provider

We are a Meta Tech Provider: your WhatsApp Business API line with no middlemen, and chatbots wired to your ERP.

Sprint delivery you can click

A working demo every two weeks and measurable progress. No "it’s 80% done" without something you can click.

New

AI applied to your operation

LLM agents, RAG over your data and process automation — the same practice we use to run iTech itself.

Real nearshore: Texas + Monterrey

Legal entity in the U.S. (iTech Corp, Texas), contracts under U.S. law, same CST time zone and USMCA.

New

ERP with CFDI 4.0 invoicing

We implement Odoo with integrated SAT stamping (PAC), client portal and reconciliation — a full operation, not just software.

When this module actually solves something

Your prospects live in each rep’s WhatsApp and leave with them when they quit.
Nobody knows what is really in the pipeline, and the forecast gets assembled from memory on the last day of the month.
Follow-ups get lost: someone asked for a quote three weeks ago and nobody called back.
Quoting means re-keying the customer into another system or a separate sheet.
You have several reps and no clean way to distribute incoming leads.
You want to know where the deals you actually close come from, not just the ones that come in.

What the module includes

Staged pipeline

Visual drag-and-drop board. Stages adapt to your process; your process does not adapt to Odoo.

Activities with owner and date

Call, send proposal, visit. Every opportunity needs a next action scheduled or it shows as stalled.

Integrated email

Inbound and outbound email stays on the opportunity. The conversation does not live in one person’s inbox.

Quote without re-keying

The opportunity becomes a quotation with data already loaded, then a sales order.

Website capture

Your web forms create the opportunity directly, with its source recorded.

Assignment rules

By team, territory or round-robin, so no lead is left without an owner.

Lost reasons

Why a deal fell through: price, timing, competitor. The most useful field and the least captured.

Pipeline reporting

Conversion by stage, rep and source — based on what was actually captured, no more.

What decides whether the team uses it

1Stages that match how you sell

Copying a textbook pipeline is the fastest way to guarantee nobody updates it. Stages get drawn with the people who sell, not the people who report.

2Fewer required fields

Every mandatory field is a reason not to capture. Start with the minimum that supports a decision and add later, only if it gets used.

3Who captures, and when

If it depends on a rep remembering at the end of the day, it will not happen. Whatever can be captured automatically — email, form, call — gets automated.

4Connection to Sales

If quoting still means leaving the CRM, the CRM is redundant. The opportunity → quote → order path is configured from the start.

5What migrates

Contacts and open deals, almost always. Three-year-old dead history, almost never: it clutters the pipeline and nobody reads it.

6One metric to start

Starting with ten metrics guarantees none get captured well. Pick one — conversion by stage usually does — and grow from there.

Tech stack

The tools and platforms we build it with — chosen for your problem, not for hype.

Is CRM in Odoo Community or do I need Enterprise?

CRM ships in Community with no licence cost: pipeline, opportunities, activities, integrated email and reporting. What usually pushes companies to Enterprise is not CRM but official accounting and some surrounding apps. If the question is which version applies to you, we settle it in the diagnostic before you pay for licences you will not use.

Does it connect to WhatsApp?

It can, and in Mexico that is often the difference between a CRM being used or not, because that is where the conversation actually happens. Odoo ships WhatsApp Business integration in Enterprise, and in Community it is solved through integration. The uncomfortable part is worth saying: connecting WhatsApp does not fix a sales process that does not exist, it only makes it visible.

Is it worth it for a single salesperson?

Yes, and sometimes that is where it shows most, because one missed follow-up costs the whole deal. With one rep the value is in scheduled activities and in the conversation staying with the company rather than on a phone. What does not add value at that size is assignment rules and comparative reporting.

Can I import contacts from another CRM or from Excel?

Yes, and it is one of the first things done. The useful question is not whether you can but what is worth bringing: contacts and open opportunities almost always; years of closed history rarely, because it clutters the pipeline and nobody reads it. That filter is a project decision, not a default import.

What is the difference between a lead and an opportunity?

A lead is an unqualified contact; an opportunity is a concrete deal with an amount and a stage. Odoo lets you use both or opportunities only. If your cycle is short and almost everything that arrives is real, enabling leads adds a step nobody will take. If you get high unfiltered volume, it earns its place.

Why do so many CRM rollouts fail?

For three reasons that are not about the software: a pipeline gets copied that does not reflect how they sell, too many fields are made mandatory, and nobody owns keeping it alive. A CRM without data entry is an empty database with a licence. That is why we start with the minimum that supports a decision and grow from what actually gets used.
